Use a shared mailbox or calendar

How to open a mailbox or calendar that your team shares.

Updated September 21, 2026

A shared mailbox is an inbox that several people use, such as info or sales at your business. A shared calendar is one the team sees together. You need permission first. See Request access to a folder or mailbox.

When you have access

  1. Wait up to an hour. A shared mailbox you have been given access to usually appears in Outlook on its own.
  2. If it does not, in Outlook on the web right-click Folders in the left pane and choose Add shared folder or mailbox.
  3. Type the name of the shared mailbox and select it.
Careful

When you reply from a shared mailbox, check the From address. The message should go out from the shared mailbox, not from you.
