Where to save your work files

OneDrive, shared folders and your desktop, and why it matters.

Updated September 21, 2026

Where you save a file decides whether you can get it back, reach it from another computer, and share it.

  • OneDrive is the best place for your own work files. It keeps a copy online, lets you open files from any device, and keeps earlier versions.
  • Shared folders or SharePoint are for files your team works on together. Ask us which your business uses.
  • Your desktop, Downloads and local Documents may exist only on this computer. If it breaks or is lost, those files can be lost too.
  1. To save into OneDrive, choose OneDrive in the left list of the Save As window.
  2. Pick a folder and select Save.
Good to know

Save important files to OneDrive or your team's shared location, not just to the computer. If you are not sure whether your Documents folder is synced, ask us.
